What we need you to tackle
You have 3–5 years of experience in Executive Assistance, Operations Support, or Sales/Revenue Operations in fast-paced startup or tech environments, and you’re comfortable owning operational workflows end-to-end. You’re extremely detail-oriented and process-driven, with a track record of handling invoicing, client billing, and contract management with high precision. You’re financially tech savvy, having used invoicing/billing tools and digital signature platforms (such as DocuSign/PandaDoc) and ideally tools like QuickBooks/Stripe or similar. You communicate with native-level or fluent professional English and can operate autonomously while maintaining rigorous data and documentation hygiene.
Non-negotiable hard skills:
- AI/RPA development
- Virtual Assistant
- Financial Research
- Legal Assistance
- Administrative Support
Your day-to-day
- Generate, send, and track invoices through the full billing cycle and monitor incoming payments.
- Route, send, and follow up on MSAs, SOWs, and NDAs using existing templates and digital signature workflows.
- Maintain CRM and internal systems hygiene by updating client records, contract statuses, and billing progress.
- Keep leadership and operations aligned by tracking executive action items and ensuring client deliverables and internal deadlines are met.
- Organize and maintain internal files, documentation, and operational folders for week-to-week business execution.
- Provide high-leverage administrative support to leadership on ad-hoc operational tasks beyond calendar management.
Nice to haves
- Write and refine clear SOPs and checklists; suggest pragmatic process tweaks to boost throughput and reduce errors in RevOps flows.
- Use spreadsheets to build A/R aging, reconciliations, and ops reports (e.g., SUMIFS, XLOOKUP, PivotTables) to support billing accuracy and cash tracking.
