About the Role
We are looking for a highly organized, proactive, and resourceful Administrative Coordinator to manage day-to-day office operations and provide high-level administrative support to our COO and CEO. This dual-role position is ideal for someone who thrives in a dynamic environment, has excellent communication skills, and can juggle multiple priorities with discretion and professionalism.
Key Responsibilities
Office Coordination
- Serve as the first point of contact for office visitors and incoming calls
- Ensure smooth daily office operations, including supplies management, vendor coordination, and facilities support
- Coordinate team meetings, events, and office-wide communications
- Manage shipping, receiving, and general mail distribution
- Assist with travel and event planning for internal team functions
Executive Support (COO & CEO)
- Manage complex calendars, schedule meetings, and coordinate travel arrangements
- Prepare meeting agendas, presentations, and follow-up materials
- Assist with email correspondence, expense reports, and document preparation
- Maintain confidentiality and act as a gatekeeper for incoming requests
- Support special projects and strategic initiatives at the executive level
- Anticipate needs and proactively resolve administrative issues
Qualifications
- 2+ years in an administrative, office management, or executive support role
- Exceptional organizational, time management, and multitasking abilities
- High level of professionalism and discretion when handling confidential information
- Strong written and verbal communication skills
- Tech-savvy with proficiency in Google Workspace and calendar management tools
- Comfortable working independently and collaborating across teams
- Experience supporting senior leadership preferred
